RECOMMENDATION

Staff recommends that the City Council approve, and the Mayor sign, a three-year contract with three additional one-year options to renew, for the City’s Uniform Rental/Purchase and Laundry Service, with Big Sky Linen for all Public Works employees.

BACKGROUND (Consistency with Adopted Plans and Policies, if applicable)

For many years, most City departments rented their uniforms from and laundered them with Big Sky Linen.  In 2020, a Request for Proposals (RFP) for the Uniform Rental/Purchase and Laundry Services for most City departments was completed and only two companies were viable options for the contract.  A contract was awarded to Alsco through June 30, 2023, with two three-year options to renew.  During that term, some of the City departments have become increasingly dissatisfied with the current contract and vendor and have chosen other arrangements for their uniform and laundry needs.  Therefore, a decision was made not to renew the contract with Alsco, and allow each division/department to utilize the service that best fits the needs of their operation up to and in accordance with the City's Purchasing Procedures.  Some have remained with Alsco, and some are returning to Big Sky Linen.  The expense related to the Public Works contract for services with Big Sky Linen exceeds City Administrator approval over the three-year term, therefore staff is requesting approval and contract execution by Mayor and Council.
 

ALTERNATIVES

City Council may:
  • Approve a three-year contract with three additional one-year options to renew, for the Public Works City’s Uniform Rental/Purchase and Laundry Service, with Big Sky Linen., or;
  • Disapprove a three-year contract with three additional one-year options to renew, for the Public Works City’s Uniform Rental/Purchase and Laundry Service, with Big Sky Linen and provide further direction to staff.

FISCAL EFFECTS

Most City Departments/Divisions have been providing uniform and laundry services for employees for decades.  Public Works spent $113,154.59 for uniform and laundry services in FY23. The Divisions have budgeted for this expense.
