Approval of this item will allow further improvements to be made to the MPO's current voting system in the Board Room and provide Board Members with the ability to participate virtually in MPO Board meetings using the request-to-speak, voting, and agenda viewing functions remotely.

On October 8, 2015, the MPO Board approved an agreement with Intent Digital, LLC to transfer the existing audio/visual equipment, request-to-speak, and voting system from a vendor with limited abilities to expand the system and address the more sophisticated needs of the MPO Board. The MPO Board approved additional amendments to this agreement with Intent Digital in 2016, 2017, and 2018 to transfer the voting system to the new Broward MPO offices and make enhancements and updates to the system to stay current with the latest in audio/visual technology. 

In response to the expiration of the governor's emergency order which allowed for virtual (or partially virtual/hybrid) meetings, MPO staff was directed by the Executive Committee to pursue a Rules amendment (also part of this agenda) and technology that would allow the continuation of hybrid meetings. In response, MPO staff has been working with Intent Digital to identify further improvements to the audio/visual equipment to enhance the virtual experience for Board Members, presenters, and members of the public. Improvements identified include upgrading all the existing PCs, installation of the VoteLynx XLG Graphic User Station (GUS), and the VoteLynx GUS Browser. The GUS Station and Browser provide the capabilities for Zoom integration which allows Board and committee members to view and attend meetings virtually while utilizing all of the existing request-to-speak, voting, and agenda viewing capabilities on their remote computer. This will allow seamless integration of the voting system in a hybrid virtual environment. The GUS system includes online training and first-year support for the GUS Station and Browser, and additional yearly support for the remainder of the contract is included in the total contract amount. The duration of the agreement is three years with two one-year optional renewals. The proposed new Agreement will replace the existing agreement with Intent Digital, which was set to expire on March 30, 2022.
