TITLE:

Consideration and Approval of Contract:  Approve the Cooperative Purchase Contract with Courtesy Chevrolet in the amount of $183,380.00, plus additional fees and costs to purchase three 2024 Chevrolet pickup trucks for the Streets Section

STAFF RECOMMENDED ACTION:

  1. Approve the Cooperative Purchase Contract with Courtesy Chevrolet in the amount of $183,380.00, plus additional fees and costs to purchase three 2024 Chevrolet pickup trucks for the Streets Section; and
  2. Authorize the City Manager to execute the necessary documents.

Executive Summary:

The Streets Section has budgeted for the replacement of three heavy/light duty pickup trucks that have reached their end of life. Service and maintenance cost have driven the decision for these vehicles to be prioritized by Streets and the Fleet Management Committee. These three vehicles serve in various capacities such as light medium duty equipment transport, signs and marking maintenance (paint transport), fuel haulage, traffic control, and more recently disaster response with sandbag transportation, along with skid steer & toolcat transport to reduce the need of larger commercial vehicles to be utilized. These vehicles are now slated to be replaced and have been held in the fleet long past the recommended standards set forth by the fleet management committee. Street would like to replace these trucks with three Chevy 3500HD pickup trucks reducing two trucks from 4500HD down to 3500HD to better meet the operational needs and right size the fleet. 

Financial Impact:

These vehicles have been budgeted for replacement in FY2023-24 are funded with Highway User Revenue (HURF) funds in account 040-06-161-0614-6-4401 and 040-06-161-0613-6-4401 for total budget of $330,000 for these replacements.

Streets in partnership with Fleet has worked to reduce the load rating on 2 of the 3 trucks being replaced in effort to right size our city fleet and costs. Two of the three trucks will be ordered with diesel motors equipped with the latest emissions including diesel particulate filtration that greatly reduces carbon output, compared to the 25-year-old vehicles being replaced. For even more carbon reduction, Streets was able to spec one of the trucks with a gasoline motor as it better meets the hauling capacity and transport needs of the signs and markings programs and reduce overall costs.

The Procurement department utilized State of Arizona, Procurement Department, Public Sector conducted a competitive and open procurement process through Request for Proposal Solicitation No. BPM004157 that resulted in Contract # CTR059315 with Courtesy Chevrolet.
