TITLE:

Consideration and Approval of Contract: Cooperative Purchase Contract with Sands Motor Company, Inc. in the amount of $44,631.48, plus other fees and taxes, for the purchase of one (1) 2024 Chevrolet Silverado work truck for the Facilities Section.

STAFF RECOMMENDED ACTION:

  1. Approve the Cooperative Purchase Contract with Sands Motor Company, Inc. in the amount of $44,631.48, plus other fees and taxes, for the purchase one (1) 2024 Chevrolet Silverado Work Truck for the Facilities Section; and
  2. Authorize the City Manager to execute the necessary document.

Executive Summary:

The Facilities team maintains over 100 buildings just over 1 million square feet of city buildings. Our facilities technicians are required to work independently to meet all the maintenance and emergency response needs daily. This vehicle will be used in day to day operations supporting the facilities' extensive workload city-wide. Our facilities technicians are required and need a vehicle to operate and respond at all hours and in all weather conditions. Additionally, this vehicle has been vetted and approved by the Fleet Management Committee and one of four vehicles that were approved for replacement in FY2023-24.

This vehicle consideration requires a Council review due to exceeding procurement thresholds with one vendor within a single fiscal year.  Although this vehicle is less than $50,000, the aggregate with this vendor will exceed the $50,000 threshold and requires Council approval.

Financial Impact:

The Facilities section budgeted $50,000 for this truck in FY 23/24 (GL#001-06-152-0510-3-4401) for vehicle replacement utilizing general fund dollars.

Policy Impact:

This vehicle will directly support the city's mission to provide the highest level of service to all our city facilities.

Carbon Neutrality Plan
This vehicle moves us closer to our Carbon Neutrality goal by providing a much more efficient v6 engine that reduces our carbon footprint and increases our fuel economy. The Fleet management Committee has approved the purchase of this vehicle to help meet the growing operational need in the facilities team.

Background and History:

The Purchasing section has reviewed the competitively solicited cooperative purchase options available and confirmed that the Arizona Department of Transportation (ADOT) conducted a competitive and open procurement process through Request for Proposal Solicitation No. BPM004157 that resulted in Contract No. CTR059324 with Sands Chevrolet, Inc. This contract has been verified as valid and appropriate for the purchase of the specified vehicles and presents the best value to the City.
