Discussion and direction to amend Exhibit A "Rates & Services Addendum" to the Master Services Agreement with BEEFREE to add a sixth vehicle until either May 10, 2025, September 30, 2025, or for the remaining term of the contract.

At the November 12th FPRA meeting, the FPRA Board approved adding a sixth vehicle to the Freebee fleet to address increased demand, particularly during the holiday season.
Staff, in coordination with the City Attorney, is presenting the FPRA Board with three options for the amendment to Exhibit A "Rates & Services Addendum" agreement.

Each option provides a different timeframe and cost structure for the addition of the sixth standard vehicle. Here are the details for each option:

1. Option 1: December 11th, 2024 – May 10th, 2025

   • Vehicle Addition: A sixth vehicle will operate from December 11th, 2024 to May 10th, 2025.
   • Monthly Cost: The monthly cost will increase from $40,000 to $50,833.
   • One-time Fees:
     • $1,500 for the vehicle wrap
     • $1,250 for the installation of the charging station

2. Option 2: December 11th, 2024 – September 30th, 2025

   • Vehicle Addition: A sixth vehicle will operate for the remainder of the fiscal year, through September 30th, 2025.
   • Monthly Cost: The monthly cost will increase from $40,000 to $50,833.
   • Prorated First Month: The first month of the additional vehicle will be prorated based on the number of days of use.
   • One-time Fees:
     • $1,500 for the vehicle wrap
     • $1,250 for the installation of the charging station will be waived

3. Option 3: Remainder of the Contract Term

   • Vehicle Addition: A sixth vehicle will operate for the remainder of the contract term.
   • Monthly Cost: The monthly cost will increase from $40,000 to $50,250.
   • Prorated First Month: The first month of the additional vehicle will be prorated based on the number of days of use.
   • One-time Fees: The following fees will be waived, $1,500 for the vehicle wrap and the $1,250 for the installation of the charging station.
