MEETING MINUTES

Fort Pierce Youth Council - Thursday, February 2, 2023 - 4:00 p.m.
City Hall - 3rd Floor Conference Room, 100 North U.S. #1, Fort Pierce, Florida

Chairwoman Sara Cheney called the meeting to order at 4:03 PM.

COMMENTS FROM THE PUBLIC

Any person who wishes to comment on any subject on this Agenda may be heard at this time. Please limit your comments to no more than five (5) minutes, as this section of the Agenda is limited to thirty minutes. The Youth Advisory Committee will not be able to take any official action under “Comments from the Public” section.
 
4.
Community Service Project - Event Planning
Chairwoman Sara Cheney started the meeting by speaking about the email that Audrey Moore-Wells had sent the members requesting that they be prepared to discuss the following items at today’s meeting: name, description, budget, schedule, target audience, speakers, marketing/publicity and attendance goals for the community service event.
 
Audria Moore-Wells advised that if the event is held within the FPRA district, the cost would be covered by the FPRA.  The FPRA would insure the event and the BGC would be listed as an additional insured.
 
Vice Chair Mia Morrison suggested holding the event at Westside Boys & Girls Club.  All the equipment would be included at the venue. She also provided suggestions on how to market the event and provided a copy of the flyer she had created for the event with an emphasis on “fun”.  She suggested a budget of approximately $700 for a boxed lunch with water for 65 people.  Audria informed the members that Mr. Mimms also wanted to provide breakfast for the attendees.
 
Chairwoman Cheney gave a recap of what they needed to discuss at today’s meeting to plan the event: the speakers, meals, beverages, equipment needed, etc.  The key topics for the event are college prep and scholarships, career opportunities, parent resources, and mental health for the breakout groups.
 
Chairwoman Cheney asked the members if they had anything else that they wanted to add.  A member mentioned that she was in agreement with Vice Chair Morrison’s suggestions.
 
Vice Chair Morrison also suggested that instead of having different speakers, the members could share their personal experiences to inspire others.  Several members voiced their approval.
 
Chairwoman Cheney also provided suggestions based on 50 people attending an event and that a projector should be available for PowerPoint presentations.  Her lunch menu suggestion was pizza, water, and soda. She inquired about the source of the funding. 
 
Audria Moore-Wells advised the members to set a budget, and she would present the budget to the City Manager for approval.
 
Chairwoman Cheney suggested naming the event The Fort Pierce Teen Talk or Talks for Teens.  She also suggested a schedule for the event.
 
The members discussed the date of the event which is March 25th
 
A member inquired about the venue for the event.  Another member suggested holding the event at a local venue such as Percy Peek or Blackburn Center.  Audria Moore-Wells explained that the City Manager would need to ask IRSC about utilizing Blackburn. Vice Chair Morrison stated that the gymnasium has rooms for the breakout sessions.  Vice Chair Morrison expressed her opinion that the Percy Peek Gym is right in the center of the community.   Audria Moore-Wells explained that Mr. Mimms would need to reach out to IRSC for the use of the Blackburn Center. 
 
Further discussion ensued regarding the scheduling and marketing of the event.
 
They discussed how many rooms were needed for the breakout sessions.
 
Discussion followed on the start and end times of the event.
 
Audria Moore-Wells advised the members that they would be on the planning, set up and break down committee, so they would need to arrive one hour earlier.  They would also need to set up the breakout rooms for the speakers. 
 
Further discussion followed on the event’s start time and end time, scheduling and length of the breakout sessions, breakfast menu, and lunch menu.
 
Vice Chair Morrison suggested a detailed schedule for the event starting at 10 am and ending at 2 pm.
 
Audria Moore-Wells gave the following assignment to the members.  She informed them that the flyer created by Vice Chair Morrison will be sent to all members to work on the flyer and work on the schedule.  She and Mr. Mimms will reach out to IRSC. They should have a response by Monday or Tuesday.  She suggested that the members work on estimating a budget for 100 people which would include teens and adults for breakfast and a boxed lunch.
 
Vice Chair Morrison suggested that for the main discussion when all the members are together that they speak about their experiences with the Council, Boys & Girls Club, leadership, etc.  For the breakout sessions, a member could team up with an adult.
 
Audria Moore-Wells advised that the speakers need to be identified now so that they can be invited to speak at the event.  She also informed the members that she would be responsible for Parent Resources and that she would obtain a speaker.
 
Chairperson Cheney asked the members which breakout session they would be interested in hosting.
 
The members volunteered for the following breakout sessions:
Vice Chair Mia Morrison – Mental Health
Tyanna Gore – Mental Health
Iyonee Allen – Career Development
Milani Carpenter - Career Development
2nd Vice Chair Deonna Davis - Financial Literacy (assigned by Mrs. Moore-Wells)
Reese Adams - To be determined

Chairwoman Cheney reiterated that the member's focus right now is making a flyer and making a schedule.  Ms. Audria will be sending them the flyer created by Vice Chair Morrison.  They should send their comments by email to Ms. Audria.  They also need to start thinking about the food. 
 
Audria Moore-Wells asked the member to send all suggestions to her for the breakout session, and she will email their partners.
 
Motion made by Iyonee Allen and seconded by Vice Chair Mia Morrison to hold the event at the Blackburn Center with the Westside Boys & Girls Club as an alternate location. 
Motion made by Tyanna Gore and seconded by Iyonee Allen for the event to start at 10 am and end at 2 pm. 
 
5.
2023 Youth Council Legislative Action Days 4/4/23 - 4/5/23
Chairwoman Cheney gave a summary of the FLC 2023 Youth Council Legislative Action Days Program which will be held on April 4 & 5 in Tallahassee. Vice Chair Morrison expressed an interest in attending as well as Iyonee Allen and Tyanna Gore.  Mrs. Moore-Wells informed the members that she would need to know who wanted to attend by Friday.
 
Mrs. Moore-Wells informed the members that there will be a regular monthly meeting on 2/16/23.

Motion made by Iyonee Allen and seconded by Tyanna Gore to adjourn the meeting at 4:57 pm.
