Microsoft Enterprise Software Licensing Agreement - Three year renewal of licensing, services, and support via Dell Technologies (custodian of the Riverside County / California State Government purchasing agreement)
RECOMMENDED MOTION:
Council approve the three-year Microsoft Enterprise Agreement renewal to Dell Systems
DISCUSSION:
The City of Hawthorne is standardized on the use of Microsoft products to power its operating systems, server environments, and productivity tools, including the Microsoft Office suite (Word, Excel, PowerPoint, etc.), both on-premises and cloud-based. This standardization ensures operational consistency, compatibility, and efficiency across all departments while supporting modern IT infrastructure needs.
The Microsoft Enterprise Software Licensing Agreement provides public agencies with volume-based pricing, upgrade rights to the latest software versions, and access to a suite of online tools and services. This three-year renewal, spanning January 1, 2025, to December 31, 2027, will secure support and licensing for Windows 11 Enterprise, ensuring a secure and standardized operating system for workstations, as well as Windows Server to maintain and enhance the City’s on-premises infrastructure. It also includes Exchange Online for email services, offering enhanced security, scalability, and integration with other Microsoft tools.
The City will procure this agreement through the Riverside County statewide enterprise purchasing contract hosted by Dell (MSA #8084445). This cooperative purchasing arrangement allows the City to benefit from the collective buying power of participating agencies, ensuring highly competitive pricing and advantageous terms. Beyond immediate licensing needs, the agreement positions the City to continue the deployment of cloud based technologies, such as SharePoint / OneDrive and other advanced collaborative tools, further enhancing operational efficiency and information sharing across departments.
This renewal ensures the City has the necessary software licensing to maintain secure, reliable, and efficient operations while supporting key technology infrastructure needs, including advanced cybersecurity measures like Multi-Factor Authentication and centralized administrative tools for effective management of devices, users, and applications.
