Discussion and possible action on any and all matters regarding the authorization to purchase a new Ford F-150 XL truck for the Parks Department. (Lizandro Galaviz, Director of Parks & Recreation)
SUMMARY:
Staff is seeking approval to purchase a new Ford F-150 XL Truck for the Parks Department. This truck will be a new addition to the Parks Department and was budgeted and approved as a Capital Improvement Plan item for this Fiscal Year 2019-2020.
Staff contacted the following dealerships for quotes
(1) Chapman Ford in Scottsdale, Arizona who provided a written quote of $25,699;
(2) Bill Alexander Ford Lincoln, Yuma Arizona who provided a written quote of $25,600.00 and
(3) Earnhardt Ford, Chandler, Arizona who did not provide a written quote.
Staff would like to go with the lowest bid from Bill Alexander Ford Lincoln in Yuma, Arizona.
Under San Luis City Code - Purchasing Section §36.01 (D), Whenever any contemplated purchase for the sum of at least $15,000 but no more than $35,000 the requisitioning department with the assistance of the purchasing department shall solicit three (3) written quotations (inclusive of all cost) from vendors.
Staff is asking for Council to waive formal purchasing requirements of three (3) written quotes since the third dealer would not provide a written quote. Staff recommends the purchase of the Ford F-150 truck from Bill Alexander Ford Lincoln because the city will not incur transportation costs since it is a local business, and Alexander Ford has the lowest price.

RECOMMENDATION / SUGGESTED MOTION:
I MOVE TO WAIVE THE SAN LUIS CITY CODE ON PURCHASING AND APPROVE THE PURCHASE OF THE FORD F-150 TRUCK FOR $25,600.00.
