ITEM:
Discussion and possible directions to staff on any and all matters regarding authorization to purchase one (1) fully marked and equipped new 2020 Ford F150 SuperCrew Cab XL 4x4 pick-up truck using Fiscal Year 2019-2020 Capital Projects budgeted funds. (Richard Jessup, Chief of Police)
SUMMARY:
The San Luis Police Department is seeking approval for the purchase of one (1) new 2020 Ford F150 SuperCrew Cab XL 4x4 pick-up truck. This pick-up truck would be an addition to the police patrol vehicle fleet. The funds for the purchase of this vehicle was approved as a Fiscal-Year 2019-2020 Capital Project to purchase one (1) fully marked and equipped patrol pick-up truck. The pick-up truck will be purchased through Bill Alexander Ford of Yuma, AZ, who has provided the lowest bid.
The pick-up truck will be fully equipped and marked by Arizona Emergency Products (AEP) using Yavapai County contract #2018-346, which provides a cost reduction from that of the dealership state contract. Within the budgeted amount, there are sufficient funds to purchase two (2) new 2020 Ford F150 SuperCrew Cab XL 4x4 pick-up trucks.
Peoria Ford provided an individual vehicle quote for a new 2020 Ford F150 SuperCrew Cab XL 4x4 pick-up truck of $35,920.20, which is the price for the State Contract.
Alexander Ford of Yuma provided a lower quote for a new 2020 Ford F150 SuperCrew Cab XL 4x4 pick-up truck of $35,528.13. Alexander Ford was selected as the lowest quote.
Arizona Emergency Products (AEP) provided an individual vehicle quote for equipping and marking of one (1) new 2020 Ford F150 SuperCrew Cab XL 4x4 pick-up truck of $16,496.67.
The total for the fully equipped 2020 Ford F150 will be $52,024.80.

The equipping and marking of the vehicle comes under the San Luis City Code-Purchasing, Section 36.09 Cooperative Purchasing since it is using the Yavapai County contract. The vehicle price is lower than the state contract. Staff will be asking Council to waive the formal purchase procedures under San Luis City Code-Purchasing, Section 36.01(H), to get the lower price.
