Discussion and possible action on any and all matters regarding a contract with James Davey and Associates, Inc. associated with the design of Rancho Los Oros Improvements - Phase II.  (Mary French-Jones, Grant Writer)

SUMMARY:

City staff is seeking future funding opportunities to complete the remaining infrastructure improvements within Rancho Los Oros subdivision.  The city remains competitive for funding by preparing shovel-ready projects for submission to a variety of federal, state and local funders, such as Arizona Department of Housing’s CDBG State Special Projects(s).  Infrastructure proposals submitted for this funding stream must meet shovel-ready requirements.  A construction project is considered shovel-ready when certain elements are completed prior to application submission including any design, engineering and planning elements.  Staff is seeking approval to complete design for the second phase of Rancho Los Oros subdivision by obtaining a contract with James Davey and Associates, Inc. The company is very familiar with the complexity associated with the city’s public infrastructure and Rancho Los Oros subdivision.  James Davey and Associates, Inc. completed the design for the initial Rancho Los Oros Improvements Project (CDBC #113-20), slated for construction after the holidays.  The company is also providing the project construction administration for the city.  Phase II will complete similar components associated with sewer and roadway improvements, more specifically: one (1) section of sewer repair where the line has sagged; five (5) sections where the roadway has settled, plus general repaving work as the budget will allow.  Phase II design cost is an estimated $30,180.00, and take approximately 90 days after issuance of Notice to Proceed.

Staff is requesting ratification for a contract with James Davey and Associates, Inc. James Davey and Associates, Inc. is a provider on the on-call engineering services list, per Resolution No. 1143.

RECOMMENDATION / SUGGESTED MOTION:

I MOVE TO APPROVE THE CONTRACT WITH JAMES DAVEY AND ASSOCIATES, INC. IN THE AMOUNT OF THIRTY THOUSAND, ONE HUNDRED AND EIGHTY DOLLARS ($30,180.00) AS PRESENTED.
