ITEM:
Discussion and possible directions to staff on any and all matters regarding the purchase of an Avaya phone system for the City of San Luis. (Derek Duenas, IT Manager)
SUMMARY:
The Information Technology (I.T.) Department is requesting to move forward with the purchase of an Avaya phone system for the City of San Luis. The current NEC phone system is obsolete and is no longer supported by the manufacturer. The new phone system will implement new regulations and standards which require easy access to 911 calling and the availability of precise caller location. The new phone system replacement includes pbx, VOIP desk phones, call recording software, licensing, and programming services. I.T. staff will be provided phone system administration training which will help with maintenance and future programing needs. Programming services will be done remotely as described in the attached documentation.

FISCAL IMPACT STATEMENT (IF THIS IS A BUDGET TRANSFER, YOU MUST ATTACH THE BUDGET ADJUSTMENT FORM):
Cost of equipment increased; a budget transfer will not be necessary as there is currently $16,000.00 in funds left over from a project that will not be completed this fiscal year. Configuration services are quoted at $39,531.00 by CDW affiliate.
