- Submitted By:

Motion
ITEM:
Discussion and possible action on any and all matters regarding the City of San Luis entering into contract with American Pavement Preservation for application of Type 2 and Type 3 slurry seal as part of the 2016 Pavement Preservation Project. (Eulogio Vera, Director of Public Works)
SUMMARY:
In continuance of the 2016 Pavement Preservation Project, staff recommends the approval of the contracts with American Pavement Preservation, for a total amount not to exceed $350,000.00. The contracts piggyback with City of Yuma Slurry Seal Service, BID#2016-20000024. The contracts individually will comply with the ceiling for road construction without going out for a separate bid under ARS 34-201 of $220,000.
A map showing where slurry seal has been applied in the past years as well as the proposed for 2016 is attached. The contracts will be available at the time of the meeting.

City Council approved a total of $500,000.00 for the 2016 Pavement Preservation Project ($250,000 for Slurry Seal and $250,000 for Chip Seal). Staff is working with Yuma County Public Works Department on performing the chip seal based on our intergovernmental Agreement with them, which has a $100,000.00 limit per year. The City will not spend more than $100,000.00 with Yuma County and will not spend more than $150,000 for the chip seal application including some of the material the City is purchasing separately. Due to the City only paying Yuma County for actual costs and since we are purchasing some of the material, the square yards covered by our approach is significantly larger than hiring a Contractor.
Staff recommends the approval of contract with American Pavement Preservation, not to exceed $350,000.00 for Fiscal Year 2016.
