Discussion and possible action on any and all matters regarding the modification of a Capital Improvement Project purchase approved for the Cesar Chavez Cultural Center for Fiscal Year 2021-2022. (Angelica Roldan, Acting Director of Parks and Recreation)
SUMMARY:
In Fiscal Year 2020-2021, the replacement and installation of new drapes for the stage in the main room for the Cesar Chavez Cultural Center were approved. This expense was approved as a Capital Improvement Project (CIP) and was given a budget of $15,660.00. Currently, the Cesar Chavez Cultural Center is being reserved for the community as well as for city events. With the high demand for the Cultural Center, staff is wanting to take a different route regarding the approved CIP expense.
Staff would like to use the approved CIP budget for the purchase and installation of a sound system for the Cesar Chavez Cultural Center. The sound system in the main room has to be upgraded and improved to comply with the demand of the Cultural Center for reservations and events. Staff would like to purchase this sound system equipment from the vendor Sweetwater. The I.T Department has reached out to this vendor and they provided staff with a quote for this purchase. The quote they provided is for the amount of $9,493.57 and it includes all the items necessary to revamp the sound system in the main room. Once the equipment is received, staff will reach out to vendors to proceed with the installation. This expense will be within the budget of the remaining balance left in the CIP account.
Under the City's Purchasing Code § 3.05.010 (B) purchases under $10,000 require a single quote and no further formality.
Staff is seeking the approval of the Mayor and City Council to modify the description of the approved CIP expense for Fiscal Year 2021-2022. Staff is open to any recommendation and direction from the Mayor and City Council concerning this purchase.

RECOMMENDATION / SUGGESTED MOTION:
I MOVE TO REMOVE THE CULTURAL CENTER DRAPES FROM THE CAPITAL IMPROVEMENT PROJECTS AND REPLACE IT WITH THE SOUND SYSTEM IMPROVEMENTS AS PRESENTED.
