Discussion and possible action on any and all matters regarding authorization to purchase two (2) fully marked and equipped new 2024 Ford Explorers using Arizona Department of Emergency and Military Affairs Border Fencing and Technology Grant budgeted funds. (Nigel Reynoso, Chief of Police)
SUMMARY:
Purchase of Vehicles
The City of San Luis Police Department is seeking approval for the purchase of two (2) new 2024 Ford Explorers. The new vehicles will be assigned to the San Luis Police Department Patrol Division in order to replace vehicles over 10 years old with 100,000 miles and scheduled to be decommissioned. The funds for the purchase of these vehicles were approved as Fiscal Year 2024-2025 Capital Projects Grant Funds. The vehicles will be purchased from Peoria Ford, which holds the state contract #CTR059322-3 and has provided a bid of $105,662.36, including tax, for the two (2) vehicles. They are also the only dealership that can provide us with these police interceptor vehicles at this time without an extended order time.
Purchase of Equipment to up-fit Vehicles
The explorers will be fully equipped and marked by Arizona Emergency Products (AEP) using Yavapai County contract #2018-346, which provides a cost reduction from the state dealership contract. The quotes provided to fully equip the two (2) new vehicles will total $62,603.72.
Total Purchase
The total purchase amount for the vehicles and the equipment will be $168,265.78.
San Luis City Code-Purchasing
The purchase, equipping and marking of the vehicles come under the San Luis City Code-Purchasing, Section 36.09 Cooperative Purchasing, since it is using State Contract #CTR059322-3 for purchasing of the vehicles, and the Yavapai County contract #2018-346 for the equipping of the vehicles.

The total amount to purchase all two (2) new vehicles will be $168,265.78. Fiscal Year 2024-2025 budgeted amount was included within the grant amount of $1,369,800.00.
