ACTION REQUESTED:

Approval of a purchase agreement with APIC Solutions in the amount of $142,880.42 for the purchase, installation, programming, testing, and commissioning of audiovisual systems for the new training room and conference room located within the Fire Station 1 addition. (Chavez)

BACKGROUND:

As part of the Fire Station 1 expansion project, which includes the construction of new female living quarters and associated facility improvements, a new training room and conference room are being constructed. These spaces require audiovisual equipment and conferencing capabilities to support firefighter training, departmental meetings, interdepartmental collaboration, and remote participation through Microsoft Teams.

During initial project planning, audiovisual installation was anticipated to be completed utilizing in-house staff resources. Since that time, the City's audiovisual technician position has become vacant, eliminating the ability to complete the work internally. To ensure the training room and conference facilities are fully functional upon completion of construction, the City must contract these services through a qualified vendor.

APIC Solutions conducted site evaluations and developed a turnkey solution that includes equipment procurement, installation, configuration, testing, documentation, and staff training. The system will provide modern presentation, conferencing, scheduling, and collaboration capabilities for both the training room and conference room.

FINANCIAL CONSIDERATION:

The total project cost is $142,880.42.  Funding is already budgeted from account 55004125-654801 Contract Professional Services.
