Discuss, consider, and take appropriate action on awarding IFB #22IFB130 Williamson County Fleet Vehicles to the lowest and best bidder, Caldwell Country Chevrolet - Ford for twenty-nine (29) vehicles, for a total amount of $1,724,372.00.

The Purchasing Department solicited sealed bids under IFB #22IFB130 for various vehicles for seven (7) Williamson County Departments. Vehicle specifications were requested from departments with budgeted new or replacement vehicles to be ordered in FY23. These were reviewed by the Budget Office and Fleet Department prior to issuing the solicitation. A total of 1,454 vendors were notified, with fifty-three (53) document takers, and three (3) responses received. Submissions were reviewed by departments to ensure they met specifications per department requirements.  It was determined that Caldwell Country Chevrolet - Ford was the lowest and best bidder. The total price of $1,724,372.00 includes the up-fitting for the vehicles requiring additional equipment. Budget, Audit and Legal reviewed the bid. Please see the attachments that list all the vehicles and pricing and budget line items being charged for each department. A Purchase Order for all awarded vehicles will be issued the first week of October to place the order.  Funding sources per department are noted on the attached back-up documentation.  The point of contact is Joy Simonton.
