Discuss, consider and take appropriate action on approving the Renewal Agreement and related County Addendum between Williamson County and Lavi Industires for the Virtual Queue Manager (QTrac) to support the continued operations of Williamson County Departments at the cost of $1,790.00 per month, plus text message charges, and exempt this item from competitive bidding requirements as per Texas Local Government Code Discretionary Exemption Section 262.024(a)(7)(D) captive replacement parts or components for equipment and authorizing execution of the related documents.
Background
QTrac is a virtual queuing/appointment scheduling solution for the county which manages service queues and optimizes customer flow by virtually placing customers into a queue for service, calling customers to be served, monitoring and managing customers and service allocation, optimizing wait times and service efficiency. The renewal agreement is for a cost of $179.00 per month for ten (10) locations, with eight (8) locations already set-up, for a yearly total of $21,480.00 and a $0.03 per text fee, estimated at $2,000.00. The attached renewal has additional details regarding the services provided. Legal, Contract Audit, IT and Budget have reviewed this renewal. Funding source is 01.0100.0503.004505.
