Discuss, consider and take appropriate action on awarding RFP #22RFP54 Electronic Medical Record System to the highest ranking proposer, SpiralFX Interactive, LLC, and authorizing execution of the documents.

Approval of this item will support the operations of the Williamson County Jail.  Thirty-five (35) vendors viewed the solicitation documents and four (4) proposals were submitted.  Three (3) of the vendors passed the inital pass/fail round of evaluation and were scored in the second round.  The evaluation committee recommends that SpiralFX Interactive, LLC be awarded the Electronic Medical Record System contract for Williamson County.  The contract has an initial term of thirty-six (36) months with two (2) optional twelve (12) month renewals.  IT, Legal, Contract Audit and Budget have reviewed this purchase.  There is a one-time fee of $7,000 for extended onsite training.  Software licensing, hosting, maintenance and support will be invoiced monthly at a rate of $3,250 for the first thirty-six (36) months. If the county wishes to extend the contract months thirty-seven (37) through sixty (60) it will be invoiced at a monthly rate of $2,250.  Total cost for the full sixty (60) months is $178,000.00.  This expenditure will be charged to FY22 01.0100.0570.004208.  Department contacts are Chief Kathleen Pokluda and Kurt Showalter.
