Discuss, consider, and take appropriate action on approving the execution of the software service amendment #202570 between Williamson County and Tyler Technologies, Inc. for the CloudGavel's eWarrent Solutions software, pursuant to Sourcewell contract #090320-TTI., extending the existing agreement of the pilot term of the original agreement from September 30, 2024, to December 31, 2024.

Background

CloudGavel's electronic warrant solution changes the way the criminal justice system operates. eWarrants is a practice by which the warrant process can be facilitated in a secure cloud environment.  The capability of processing warrants online allows for a rapid response time by the courts.  Law enforcement officers can now get an arrest warrant approved in minutes as opposed to hours. 

The initial contract was approved on June 18, 2024 in Commissioner's Court, and approved with the pilot term set to expire on September 30, 2024, with an auto-renewal on October 1, 2024.  The new amendment will have the pilot term continue until December 31, 2024, and upon expiration of the pilot term, the agreement will start for the first full term on January 1, 2025 and continue through December 31, 2025.  Upon expiration of the first term, this agreement will renew automatically for an additional one (1) year renewal term at our then-current SaaS Fees unless terminated in writing by either party sixty (60) days prior to the end of term.  Since the original pilot term has already been approved, invoiced, and paid, no additional money will be involved with this amendment. The amendment has been approved by IT, the Auditor's Office, and Contract Audit and General Counsel. Orig #1570.
