Discuss, consider and take appropriate action on approving the purchase of TAB Fusion annual maintenance in the amount of $6,440.59 and exempting the purchase from the competitive bidding requirements for said service established by Section 262.024 (a)(7)(D) Captive Replacement Parts and Components for Equipment of the Texas Local Government Code Discretionary Exemptions.

Background

Approval of this item will support IT Department operations.  The TAB Fusion RMS system manages the complete lifecycle of both physical and digital records and documents to help easily find, share and manage information from creation through disposition while enforcing records management governance.  The software has been used since 2016 and at that time was covered under DIR contract #DIR-TSO-2606.  The DIR contract has since expired making this an off contract purchase warranting the need for an exemption.  Per legal guidance purchasing suggests that moving forward a new contract be secured.  This annual maintenance covers a period of 4/1/2022-3/31/2023.  IT, legal, contract audit and budget have reviewed this purchase.  This expenditure will be charged to FY22 0390-0390-004505.  Department contact is Richard Semple.
