Reason for Recommended Action/Background
The staff report will provide a brief background on the project, an overall status update, and a breakdown of milestones and status.
Background
The Board of Supervisors considered the Infor CloudSuite Migration project over the course of 2021 and provided the final approval to move forward on August 31, 2021. The project kicked off in October 2021. On September 13, 2022, Staff presented a status report and recommended extending system go live date from January 2023, to July 2023, because the overall project was behind schedule due to resource constraints and the technical complexity of the new system. The Board of Supervisors approved the project extension on September 27, 2022.
Status Update
The project status for each of the functional areas of the system (Human Capital Management / Payroll, Financial Services Management, Supply Chain Management, Technical) is green, leading to an overall project status of green (indicating the project is in a healthy state). During the course of the project, several of the functional areas have dropped into the yellow (warning) state, however the project team moved quickly to properly align resources to bring all areas back into green.
Significant progress has been made since the last time the Board was updated. System Integration Testing Phase 2 concluded mid-January 2023, at which time the system was handed back over to Infor in preparation for the 4th data migration. The Project Team completed the 4th data migration pass on January 20, 2023 and completed post migration preparations to stage the system for User Acceptance Testing, which is the final round of testing prior to go live. Starting in February through end of April 2023 the Project Team, in conjunction with subject-matter experts from departments across the county, will transition into the User Acceptance Testing phase of the project.

- Data Validation & Readiness
- Continued Super User Training
- Report Testing
- 3rd Party Integration Testing
- End-Use Buy-In
While the overall status of the project is green there are risks that the project team is keeping a close eye on. Risks identified include:
- Accounting Structure / Fund Accounting changes are still being made as we head into User Acceptance Training
- Continue resource constraints for Yolo Staff
- 3rd Party System Integrations
