Authorize the use of IT Innovation Funds in the amount of $15,000 to purchase an insurance tracking and compliance software, and adopt a budget resolution increasing the General Services 2022-23 budget by $15,000. (General fund impact $15,000) (4/5 vote required) (Gerney/Pistochini) 

Recommended Action

  1. Authorize the use of IT Innovation Funds for the CTrax SaaS solution which is a comprehensive Certificate of Insurance tracking solution; and
     
  2. Adopt a budget resolution increasing the General Services Department 2022-23 budget by $15,000.

Reason for Recommended Action/Background

The General Services Department is requesting IT Innovation Funds to purchase the CTrax Certificate of Insurance Software-as-a-Service solution.  This cloud based software will provide the County the ability to track vendor’s insurance certificates and monitor compliance with insurance requirements. It will allow staff throughout the County to view vendor’s certificates, request updated documents and run compliance reports.

Key System Features:
Increased Productivity - County departments are estimated to spend up to 50 hours a week tracking and managing vendor insurance activities. CTrax can reduce these activities up to 90% through advanced features such as automated renewal requests and automated processing of uploaded certificates of insurance.
Risk Reduction - Automated workflows including reading uploaded certificates of insurance and comparing those with established County requirements reduces human error and provides alerting mechanisms when discrepancies are detected.
