Proposed Motion:
Move City Council approve Agreement No. TR9-285-3990, Amendment No. 4, with Cem-Tec Corporation, for streetlight poles, in an amount not to exceed $173,000, for a one-year term, December 1, 2022, through November 30, 2023.
Background/Discussion:
The City’s Transportation Division is responsible for the maintenance of over 28,515 streetlight poles on public streets throughout the City. This agreement will allow for the purchase of streetlight poles. The majority of the poles purchased will be used to replace existing poles that are damaged as a result of traffic accidents or rust. This agreement is also used to purchase poles for miscellaneous new streetlight installations to increase lighting levels in older, developed areas. Estimated quantities are based on the historical number of installations. In Fiscal Year 2021-2022, 180 poles were replaced. The agreement will allow for the purchase of approximately 260 poles during the contract term. Installation of these poles is completed through a separate contract.
Evaluation:
On November 8, 2018, City Council approved an agreement with Cem-Tec Corporation, for streetlight poles, for a one-year period, with the option of up to four (4) one-year extensions. The contractor has agreed to extend for one year at the same terms, conditions, and pricing.
Items are purchased throughout the year only as needed, and stock levels are maintained at the minimum levels necessary to support City operations.
Staff recommends extension of this agreement for the term of December 1, 2022, through November 30, 2023. This is the fourth and final extension of the original agreement.
