| Proposed Motion: |
| Move City Council approve the purchase and installation of audio video equipment, utilizing the Mohave Educational Services Cooperative contract No. 20F-CCS-1003, with Commercial Computer Services, Inc., dba CCS Presentation Systems, in an amount not to exceed $105,284. |
| Background/Discussion: |
The Tumbleweed Recreation Center (TRC) is a 62,000 sq. ft. facility that provides space for Community Recreation Programs, group exercise classes, and internal and external user groups. Many of these user groups utilize the TRC's audio-visual (AV) equipment as a core function in delivering a quality experience. The AVE is outdated, often failing in function, and is in need of replacement. Items to be replaced include projectors and screens, HDMI wall plates, receivers, speakers, amplifiers, transformers, AV cameras, display screens, fitness headsets, and Bluetooth audio interface. These items will be installed throughout the TRC, including Classrooms C and D, Meeting Room, Conference Room, Dance Studio, Group Exercise Studios A & B, and a transportable sound system for the Gymnasium. The new equipment will provide improved AV support for classes, events, rentals, training, recruitment, workshops, meetings, and seminars. In FY 2022-23, the TRC hosted 251 private rentals, 329 internal rentals, and 226 community recreation programs. |
| Evaluation: |
| The Mohave Educational Services Cooperative competitively solicited and awarded a contract for computer hardware, peripherals, software, AV equipment, accessories, and services to Commercial Computer Services, Inc., dba CCS Presentation Systems. The City has a current agreement with Mohave Educational Services allowing for the cooperative use of its contracts. The Mohave contract is valid through October 3, 2024. |
| Financial Implications: |
| In FY 2022-23, the TRC hosted 251 private rentals, 329 internal rentals, and 226 community recreation programs and sold 32,497 fitness passes. Revenues for these programs were $45,479 in rentals, $37,463 in Community Recreation Programs, and $260,966 in fitness passes. Replacement of the AV equipment will improve customer experience and day-to-day operations while enhancing public-address needs. |
