Purchase of Video Camera Equipment
Proposed Motion:
Move City Council approve the purchase of video camera equipment, from BKW Incorporated, in an amount not to exceed $59,991.
Background/Discussion:
The City Council approved Council Budget Amendments in Fiscal Year 2021-2022 for the Communications and Public Affairs Department (CAPA) totaling $50,000 toward the purchase of field and studio video cameras. This item will fulfill the purchase of that budgeted camera equipment and accessories for video production and photography uses to support the City's public information and communication projects. The purchase will acquire electronic news gathering (ENG) field cameras that are replacing 10-year-old video cameras. The ENG cameras are built to withstand the wear and tear of field productions, have a longer battery life and provide features that current City cameras lack. These features include more durable and reliable audio connections, including multiple audio inputs so more than one subject can be on camera. The cameras also have both zoom and focus controls for on camera movements, which are essential features for multi-person interviews and field productions like music concerts, special events and parades. The ENG cameras will allow staff to bring the studio feel in the field for live and recorded productions. This purchase includes the acquisition of camera equipment and accessories to create a photography kit needed for still imagery used in the City's public information, marketing and communication activities.
Evaluation:
When this purchase was originally researched earlier this year, the total cost was below the Council approval threshold, and therefore quotes were obtained. Due to various economic factors and supply chain issues with the equipment, the camera prices have increased and now make the total cost above the Council approval threshold. Supply chain-related delays also have created back order issues with camera equipment. Staff recommends the award of this purchase of video camera equipment to the lowest quote received from BKW Incorporated.
