RE:

Authorization for lease of two greens mowers for the Golf Course.

DISCUSSION

Specifications were drawn up, an RFP was sent, and bid proposals were received on January 10, 2024 for two greens mowers to be used at the Golf Course. Two proposals were received. The following is an overview of the bids received. Please refer to the attached bid tabulation for specifics.

BIDDER MAKE PURCHASE PRICE ANNUAL LEASE AMOUNT

Potestio Brothers John Deere $56,178.00 each $13,289.49 each ($26,578.98 for 2 units)

2. Simpson Norton Toro $58,656.30 each N/A - No lease option was proposed

Potestio Brothers can deliver both proposals in 12-18 months. If the mowers are leased, the lease would not start until 2025 when the units actually arrive at the Golf Course. The lease term is for 60 months.

BACKGROUND

The 2024 Equipment Fund Budget provides $27,000 for the acquisition of two (2) greens mowers for use at the Golf Course. These units will replace the oldest greens mowers.

FISCAL IMPACT

The lease amount is included in the Equipment Fund budget.

RECOMMENDATION

Staff recommends that City Council authorize City Manager Sanders to negotiate and sign a five (5) year lease agreement with John Deere Financial for two (2) John Deere greens mowers from Potestio Brothers at the annual lease amount of $26,578.98, and a total lease amount of $132,895.90.

MOTION

If agreed upon by the City Council, a possible motion would be:
I move that City Council approve accept the bid for two (2) John Deere greens mowers received from Potestio Brothers at the annual lease amount of $26,578.98, and authorize City Manager Sanders to negotiate and sign a five (5) year lease agreement with John Deere Financial.
