Proposed Amendment to the Military & Veterans Affairs Commission Rules of Procedure
Proposed Motion:
Discussion and motion to approve an amendment to the Military & Veterans Affairs Commission Rules of Procedure to address excused/unexcused absences of Commission members.
Background/Discussion
Proposed Amendment to Military and Veterans Affairs Commission Rules of Procedure
Section 7 Attendance Pursuant to Chandler City Code § 2-6.1, a commissioner forfeits office after failing "to attend three (3) consecutive regular meetings without being excused by such board or commission."
Under the Rules of Procedure for the Military and Veterans Affairs Commission, an absence may be excused for the following reasons:
An illness or death in the family, or similar emergency
Childbirth or adoption of a child
A funeral, wedding, or similar ceremony
Military service
Jury duty
Personal leave – once per calendar year, due to a previously scheduled vacation or similar
To be considered excused, a commissioner must submit the Absence Request form to staff as soon as feasible. If a meeting is canceled due to lack of quorum, unexcused absences will still be tracked.
A commissioner who arrives late or leaves early will be considered absent and unexcused, unless all of the following apply:
The commissioner provides notice to staff in advance
The commissioner is present for the majority of the meeting
The commissioner's late arrival or early departure does not cause the commission to break quorum
