RECOMMENDATION
Staff recommends approval of the purchase of replacement parts for one of the four wastewater headworks screens in the amount of $101,388.88.
EXECUTIVE SUMMARY
The headworks screens at the Water Reclamation Facility are critical high-wear equipment that require replacement parts on a four-year cycle to maintain reliable operations. Staff recommends approval of the $101,388.88 purchase for replacement parts for one of the four headworks screens, to be funded through the wastewater operation and maintenance budget.
BACKGROUND (Consistency with Adopted Plans and Policies, if applicable)
The headworks screens are the first treatment step at the Water Reclamation Facility (WRF) and are a high-wear item. The WRF replaces parts on the headworks screens on a four-year replacement interval. These screens operate continuously to screen the entire wastewater flow of the City, approximately 20 million gallons per day.
FMS Screens is the manufacturer of the four (4) headworks screens. Saveco North America Inc. is the only area vendor for FMS Screens. The replacement parts are proprietary and need to match the original equipment. The quote form and sole source justification are attached to this memo.

FISCAL EFFECTS
The purchase of the headworks screen replacement parts costs $101,388.88 and will be paid out of wastewater funds. The budgeted cost for this equipment was $100,000. There is sufficient funding in the wastewater operation and maintenance fund to cover the remaining $1,388.88.
STAKEHOLDERS
ALTERNATIVES
City Council may:
- Approve the purchase of the replacement parts for the headworks screen replacement parts in the amount of $101,388.88; or
- Not approve the purchase of the replacement parts. If not approved, maintenance on the headworks screen will not proceed. The screen will eventually fail risking damage to equipment and treatment failure downstream of the screening process.
