Approve the award of Invitation for Bids (IFB) No. 13-12-FMD-04 to Lawley Motors for the purchase of two 2013 Silverado 4WD Crew Cab Trucks for the Fleet Management Department in the amount of $58,791.52 plus applicable taxes.
Background:
IFB No. 13-12-FMD-04 was released on September 25, 2012. The Bid was advertised in the Arizona Range News on October 3-10, 2012 and posted on the County website. Bid notices were mailed to 27 vendors. Five bids were received prior to the bid closing date and time of October 25, 2012 at 4:00 p.m. A bid tabulation is attached which references Lawley Motors as the lowest responsive and responsible bidder meeting all requirements of the bid and receiving the 3% local vendor preference credit. The lowest bid received from Berge Ford was rejected due to various deviations from the solicitation specifications. Although Courtesy Chevrolet and Tom Jones Ford had a lower bid price than Lawley Motors of Sierra Vista, when the 3% local vendor preference credit was applied, Lawley Motors became the lowest bid.

Issue Purchase order. Inspect vehicles upon delivery.
Impact of NOT Approving/Alternatives:
The impact of not approving would result in having to retain current vehicles that have reached their designated replacement mileage resulting in a significant increase in maintenance and repair costs.
