Agenda Item Text:

Approve the award of Invitation for Bids (IFB) No. 13-10-HFM-04 to Norwood Equipment Company for the purchase of two 2013 Centennial Model Etnyre Emulsified Asphalt Distributors for the Heavy Fleet Management Department in the amount of $169,500 plus applicable tax.

Background:

IFB No. 13-10-HFM-04 was released on August 27, 2012. The bid was advertised in the Arizona Range News on October 3 and 10, 2012 and posted on the County website. Bid notices were mailed to 27 vendors. Three bids were received prior to the bid closing date and time of October 25, 2012 at 4:00 p.m. A bid tabulation is attached.

Note: The total dollar amount $169,500.00 plus applicable taxes represents the purchase of the two emulsified asphalt oil distributor equipment only. We will need to purchase two transport trucks separately to carry the distributor units through a cooperative purchasing agreement through the procurement department.

Department's Next Steps (if approved):

Issue purchase order, inspect equipment upon delivery.

Impact of NOT Approving/Alternatives:

Equipment will be pushed beyond its recommended replacement time which will result in increased major repairs and equipment down time.
