Approve the award of Invitation for Bids (IFB) No. 13-28-FMD-04 to Lawley Motors for the purchase of eight 2013 Chevrolet Tahoe Patrol Vehicles for the Fleet Management Department in the amount of $226,536 plus applicable tax.

Background:

IFB No. 13-28-FMD-04 was released on February 27, 2013. The bid was advertised in the Arizona Range News on March 6 and March 13, 2013 and posted on the County website. Bid notices were mailed to 28 vendors. Three bids were received prior to the bid closing date and time of September 13, 2012 at 4:00 p.m. Although Courtesy Chevrolet of Phoenix had a lower bid price than Lawley Motors of Sierra Vista, when the 3% credit was applied, Lawley Motors became the lowest bid. A bid tabulation is attached.

Issue purchase order, inspect vehicles upon delivery.

Impact of NOT Approving/Alternatives:

The vehicles that these are replacing will exceed the designated replacement mileage which is 155,000 miles for law enforcement vehicles. Running the law enforcement vehicles past the recommended 155,000 replacement will result in higher maintenance costs and may represent some liability issues.
