Approve an increase in the Not to Exceed dollar amount of Contract No. 09-27-HFP-04 for Tree Trimming and Removal Services with Environmental Earthscapes, Inc. from $49,500 to $94,000 for the Community Development Department.

Background:

Background: Request for Price Quote No. 09-27-HFP-04 was released in September of 2008 for the purpose of obtaining quotes for tree trimming and removal services throughout the County. We are currently in the 2nd one-year renewal period which is effective from December 12, 2010 through December 11, 2011. Community Development is requesting an increase in the contract amount to support the current annual work plan to include remote areas of the County, specifically the Portal area.

The current contract amount was approved within the Procurement Director’s authority (under $50,000), however, the requested increase will require approval of the Board of Supervisors.

Process a change order to the existing contract and monitor contract performance.

The tree trimming work in the current annual work plan will not be completed.

In the HURF Annual Work Plan, the Department had budgeted $70K for the Tree Trimming contract (construction contract line), but need more in order to finish up some critical areas in Cascabel and other places. The Department had $25K in the same line item for miscellaneous construction contracts that is not going to be spent, so this amount will be added to the Tree Trimming contract to make a total of $95K, hence there is no increase in the overall budget. When the Department formally amends their FY10/11 Annual Work Plan, this change will be so noted.
