Approval of award for copiers using the Western States Cooperative Alliance (WSCA) agreement to Copygraphix in the estimated amount of $300,000 for the period of October 14, 2014 through October 13, 2015 with 4 renewable options.
Background:
This award is through the co-operative contract with WSCA. It was a general consensus that the departments wished to continue doing business with Copygraphix, the WSCA contract allows the County to continue that partnership. After negotiations with Copygrahix and Konica Minolta it was agreed and approved by County Administration to have Copygraphix continue to provide the full service contract for copiers. Departments were canvassed to determine if there was any changes to be made to existing copier needs. Results were upgrading 13 copiers from black and white only copies to color and adding one additional new copier. Total cost per month for the upgrades/new copiers is $509.10. Base price for the copiers lease payments increased at approximately 1% per year over the last five years.
Department's Next Steps (if approved):
Upon approval Copygraphix will replace all copiers with the newest updated models.
Impact of NOT Approving/Alternatives:
The County will have to purchase new computers for all departments. The County currently leases 119 copiers from Copygraphix.
