Approve a 5 year contract with A&R Fire Protection LLC for the Maintenance of Fire Systems throughout Cochise County, in the amount of $300,000 ($60,000 per year), effective February 11, 2020.
Background:
The Facilities Department requested that the Procurement Department procure services for the Inspection, Maintenance and Repair of the Fire Systems throughout Cochise County.
The Procurement Department released a Request for Proposal (RFP) to the public on September 18, 2019, a site visit on September 26, 2019 and a closing date of October 10, 2019.
One vendor submitted a proposal for this solicitation, A&R Fire Protection LLC. A&R's proposed service and pricing is fair and reasonable for the County.
This contract will allow the County to retain a single contractor for the duration of 5-years, acting as a blanket for all inspections, maintenance and if any repairs are needed on the fire systems located throughout Cochise County.
Within this 5 year period, if any large projects are identified, they will be negotiated with the vendor on a proposed scope of work from the County to the Contractor, and shall be determined to be fair and reasonable in order to be approved by the Board, if found to be over $30,000.00 per Cochise County Procurement Policy, section 17.8, "Equipment, Goods, and Services Change Orders."

Issue contract and Purchase Order (PO) to A&R Fire Protection LLC which will allow them to start work.
Impact of NOT Approving/Alternatives:
The Fire Protection Systems will go out of Inspection and Maintenance Compliance and the County which will be noted by any City, State, Federal Fire Marshals and OSHA.
