Approve a Contract for the purchase of 70 electronic pollbooks with Election Systems and Software (ES&S) in the amount $94,057.23.
Background:
Funding for this purchase is coming from the 2018/2020 HAVA grant distributed to the Elections Dept. This contract is authorized through a State of Arizona procurement contract with Pima County. A worksession was held on August 10, 2021 with the Board of Supervisors explaining the current electronic pollbooks were purchased in 2015 and have come to the end of the technology life cycle. This has been the case in the past with electronic pollbooks as they are a routine purchase every 5-7 years. We have downgraded from 73 to 70 for use at our 17 Vote Centers. ES&S has been our election services vendor for many years.
Department's Next Steps (if approved):
Work with Procurement to execute the contract with the vendor and place the order.
Impact of NOT Approving/Alternatives:
There are no alternatives. Because we utilize Vote Centers and not assigned polling places, we cannot use paper rosters for voters to sign and we are required by law to provide a system for issuing ballots to voters.
