Agenda Item Text:
Approve a month to month extension of Contract No. 10-38-HFM-04 with Pro Petroleum Inc., not to exceed three months, for bulk (unleaded and diesel) fuel for the Light and Heavy Fleet Management departments.
Background:
On February 15, 2011 the Board of Supervisors approved the 1st renewal of Contract No. 10-38-HFM-04 for bulk fuel. The 1st renewal year option will expire on February 29, 2012. The Procurement department is currently working with Light Fleet, Heavy Fleet and County Administration to explore different options for the County’s fuel purchase requirements. Until an analysis is completed, we will need to extend the current contract. The vendor, Pro Petroleum, Inc. has agreed to extend the current contract on a month to month basis not to exceed three months (May 31, 2012).
Department's Next Steps (if approved):
Notify Pro Petroleum that the month to month contract extension was approved by the Board of Supervisors.
Impact of NOT Approving/Alternatives:
County departments would be required to fuel County vehicles at retail outlets at a much higher cost or the Procurement Department would be required to spot buy fuel requirements which would be cost prohibitive and a significant increase in workload.
To BOS Staff: Document Disposition/Follow-Up:
No action required.
