Agenda Item Text:

Approve an Interfund Transfer of $630 from the County Attorney's Office to the Clerk of the Superior Court for licenses to the OnBase Court document management system.

Background:

The County Attorney’s felony Legal Secretaries and the Mental Health Coordinator require access to OnBase, which is a court document management system that is housed by the Administrative Office of the Courts (AOC).

The Clerk of Superior Court is the avenue through which we obtain user licenses for AJACS, an automated Case system and a bridge into OnBase.  Those user licenses cost $180.00 per year per user.

The Clerk’s office is requesting payment for half a year’s licenses in the amount of $630.00, $90.00 of which will be paid via the DEMA grant.  The remaining $540.00 by General Fund.

The Clerk’s office is requesting payment to be transferred to their GL in leu of the county sending a check.  This requires an interfund transfer from the County Attorney 0600 to the Clerk of Superior Court, 0700.

Department's Next Steps (if approved):

Request Finance to interfund transfer.

Impact of NOT Approving/Alternatives:

Personnel will not have access to OnBase.

To BOS Staff: Document Disposition/Follow-Up:

We are requesting the BOS approve this current transfer as well as future transfers, as this will be a permanent bi-yearly transaction.
