Approve the award of Invitation for Bids (IFB) No. 12-33-FMD-04 to Lawley Automotive Group for the purchase of three 2012 Silverado 4WD Crew Cab Trucks for the Fleet Management Department in the amount of $87,947.28 plus applicable tax.

Background:

IFB No. 12-33-FMD-04 was released on May 30, 2012. The bid was advertised in the Arizona Range news on June 6 & 12, 2012 and posted on the County website. Bid notices were mailed to 27 vendors. Three bids were received prior to the bid closing date and time of July 5, 2012 at 4:00 p.m. A bid tabulation is attached which references Lawley Automotive Group as the lowest responsive and responsible bidder meeting all requirements of the bid with a 3% local vendor preference credit. Although Courtesy Chevrolet had a lower bid price than Lawley Automotive Group of Sierra Vista, when the 3% credit was applied, Lawley Automotive Group became the lowest bid.

Issue purchase order, inspect vehicles upon delivery.

Impact of NOT Approving/Alternatives:

The vehicles that these are replacing will exceed the designated replacement mileage which is 155,000 miles for law enforcement vehicles. Running the law enforcement vehicles past the recommended 155,000 replacement will result in higher maintenance costs and may represent some liability issues
