Approve revised pricing structure for Contract Amendment 5, 16-10-SUP-03 for Remote Court Reporting in the amount of $147,000 per fiscal year.
Background:
Meetings were held between the Cochise County Superior Court Administration and Procurement Department regarding the current pricing structure for contract 16-10-SUP-03. The current pricing structure is not beneficial to common business practices, as the Contract does not outline a pricing structure for Remote Court Reporting services which benefits both parties. Additionally, the County does not benefit from the un-published pricing structure as it does not lend maximum support to the County as the County pays per event, or "a la carte" for these services.
The proposed amount for increasing the services to 32 events per month is $147,000.00 per year, $12,250.00 per month, $382.82 (rounded up) per event. Anything past the 32 events per month would then be billed at $410.00 per event.
The Contractor holds proprietary rights to the software which is currently installed in 5 courtrooms throughout Cochise County, therefore, it is mutually beneficial for all parties to realize benefit from this contract until other vendors can be identified for these services. Finally, the amount of $147,000.00 equates to less than two Court Reporting employees salaries for the year.

The Contractor may cancel the contract and leave the Cochise County Superior Court out of compliance with State Statutes requiring reporting of court hearings.
