Approve new policy 2100, Facilities Management, as written in the attachments, effective July 1, 2022.

Background:

Management of Cochise County government facilities is currently based on the Countywide Facilities Management Policy, effective May 4, 2004. This policy is outdated with numerous inaccurate statements that no longer apply. Further, new practices are in place that should be documented correctly within Board approved policy. The new policy clearly defines the responsibilities and services of the Facilities Department, the process for annual funding requests for facility improvements and new furniture acquisition. It also clarifies the rules surrounding safety and security, as well as reserved parking assignments. An important addition is a description of the requirements for authorized animals within County buildings.

It is the goal of the policy to improve understanding across the organization on the appropriate role of the Facilities department, as well as ensure the buildings are maintained as a safe work environment for all employees.

If not approved, the 2004 policy will remain in effect and will not reflect current practices.
