Approve Contract 25-10-ITD-01 with All Copy Products for the Lease of Multi-Use Copiers.

Background:

The current Five-Year Lease contract is nearing its completion. Therefore, the Information Technology Department worked with Procurement in issuing a scope of work for the formal bidding process. The Procurement Department issued Request for Proposal 25-10-ITD-01 on November 1, 2024. Five vendors submitted proposals. All proposals were evaluated with the winning bidder being All Copy Products.

Department's Next Steps (if approved):

Issue Contract and Purchase Order to All Copy Products and begin the new lease.

Impact of NOT Approving/Alternatives:

The current lease contract will expire, which will trigger an automatic one-year renewal under higher price rates compared to what the new contract will offer.
