That the City Council authorize a month-to-month agreement with Valley Maintenance Corporation for custodial and related services at various City facilities.

The City requires daily custodial services at 14 City-owned and occupied facilities, totaling approximately 135,000 square feet of office/work space. The City's current custodial services contract consists of providing all necessary labor and equipment to maintain the City facilities in a clean, safe, and healthy condition for the public and staff.  The contract has reached the end of its term and staff is in the process of developing and issuing a Request for Proposals (RFP) for custodial services in order to select a service provider for another multi-year agreement.

Staff recommends that the City Council authorize a month-to-month contract with the City's current vendor, Valley Maintenance Corporation, until the process to issue and evaluate responses from the RFP, and negotiate a new contract for custodial services is complete.  Once done, staff will return to City Council with a recommendation to approve a new multi-year custodial services agreement. 

The current proposed cost to continue month-to-month daily custodial services at 14 City-owned facilities with the current service provider is $20,856 per month. This General Fund cost is allocated to the City's Facility Maintenance Division in the Community Services Department. Sufficient funds have been budgeted in the Fiscal Year 2022-2023 adopted budget for custodial services and no additional funding is being requested at this time.
