| SUBJECT: | APPROVE ISSUANCE OF A PURCHASE ORDER TO KEN GRODY FORD, BUENA PARK, CALIFORNIA, IN THE AMOUNT OF $63,709.90 FOR ONE NEW 2024 FORD F-450 STANDARD CAB PICKUP TRUCK TO REPLACE AN EXISTING FLEET TRUCK

RECOMMENDATION:
That the City Council authorize the City Manager to issue a purchase order in the amount of $63,709.90 from the Fleet Replacement Fund to Ken Grody Ford, Buena Park, California, for the purchase of one new 2024 Ford F-450 Standard Cab Pickup truck.
DISCUSSION:
In June 2023, the City Council approved the adopted Fiscal Year 2023-2024 municipal budget, which included funding in the City's Fleet Replacement budget for the purchase of one new service truck for the Public Works Department to replace an existing vehicle. In April, staff solicited pricing quotes from three regional dealerships for the purchase of one new 2024 Ford F-450 Standard Cab service truck. The price quotes submitted by the dealers are as follows:
Ken Grody Ford has a truck meeting the City's specifications currently available and in stock. The quoted price for a 2024 Ford F-450 Standard Cab service truck from Ken Grody Ford was the lowest of the three dealers, meets City specifications, and can be delivered immediately. Staff also secured a price of $3,555 for an extended warranty that would provide coverage for seven years or 75,000 miles, bringing the total cost to purchase this vehicle to $63,709.90. If approved, this new service truck will be used to replace an existing City service truck, Unit #4102, which is a 1998 Isuzu 3500 Cab Over Dump Truck, with 131,037 miles that has exceeded the City's vehicle replacement criteria of six years and 100,000 miles.

FISCAL IMPACT/SOURCE OF FUNDING:
The City Council approved and adopted the Fiscal Year 2023-2024 Fleet Replacement Budget cost center 177101-8916 (Vehicles) which allocated $75,000 for one new City service truck. The $63,709.90 quote provided by Ken Grody Ford for the purchase of a service truck is within the budgeted amount allocated in the Fiscal Year 2023-2024 adopted budget. A portion of the additional budgeted funds will be used, as needed, to fully equip the proposed new truck after delivery with items such as safety lighting, radio equipment, and the installation of a dump truck bed on the frame. No additional funding is being requested at this time.
