ITEM:

Discussion and possible action on any and all matters regarding the approval to purchase Executime from Tyler Technologies. (Derek Duenas, IT Manager)

SUMMARY:

The Information Technology department is seeking approval to purchase Executime from Tyler Technologies for the total amount of $75,222 by using procurement code 3.05.020 (Exclusive Services). Executime will replace the City's existing time and attendance software and provide seamless integration with our ERP system. Executime is a web-based platform that is equipped with workflow, automation, and paperless capabilities to help streamline the payroll process. There has been an increase of approximately $11,000.00 to this project which was previously budgeted at $64,350.00, and we would like to use funds from an existing capital project "Cisco Umbrella" that will not be completed this year. The City of San Luis recently received a cybersecurity grant that provides cybersecurity services similar to the budgeted service "Cisco Umbrella".

RECOMMENDATION / SUGGESTED MOTION:

I MOVE TO APPROVE THE PURCHASE IN THE AMOUNT OF $75,222 TO PURCHASE EXECUTIME AND REMOVE THE CISCO UMBRELLA PROJECT FROM CAPITAL IMPROVEMENTS FOR THE REASONS PRESENTED.

FISCAL IMPACT STATEMENT (IF THIS IS A BUDGET TRANSFER, YOU MUST ATTACH THE BUDGET ADJUSTMENT FORM):

This is a capital budget item. Previously budgeted at $64,350, but there has been an increase of approximately $11,000. IT currently has a capital project budgeted under the same gl account listed as "CISCO Umbrella" which will not be completed this year. The City of San Luis recently received a cybersecurity grant from the State of Arizona which has offered cybersecurity services similar to that of "CISCO Umbrella".
