Discussion and possible action on any and all matters regarding authorization to purchase two (2) truck bed vault systems, emergency vehicle lighting and emergency vehicle siren packages for two (2) new 2018 unmarked police Ford Super Crew XL F150 pickup trucks using Fiscal Year 2018 Capital Project Budgeted funds.  (Richard Jessup, Acting Chief of Police)

SUMMARY:

The San Luis Police Department is seeking approval to purchase two (2) truck bed vault systems, two (2) emergency vehicle lighting and siren packages.  These are to be installed on two (2) new 2018 Ford Super Crew XL F150 4X4 pickup trucks, which is a separate agenda item for this Council meeting. 
 
The funds are available for the purchase of this equipment as part of the approved budget for the purchase of two (2) new vehicles for a Fiscal Year 2018 Capital Project. The budgeted amount was to include a fully marked Ford SUV police vehicle and a fully marked Ford F150 animal control service vehicle.  
      Capital Project Budget FY18 account: 100-999-90000
        (1) Marked SUV Police Vehicle $47,850.00 &
        (1) Ford F150 Animal Control services vehicle $ 49,460.00. 
However, the vehicles were under-budgeted by $25,104.36 , according to quotes received from Peoria Ford, which is the Ford Dealership holding the State Contract # ADSPO17-166117 for police vehicle purchases.  So, in a separate agenda item for this Council meeting, it was requested that the funds be used for two, unmarked, 4x4 pickup trucks.

This agenda item is for the equipment for the two, unmarked, 4x4 pickup trucks.  The truck bed vault systems, emergency vehicle lighting and emergency vehicle siren packages will be purchased through Arizona Emergency Products (AEP) of Phoenix, Arizona, using the Yavapai County Contract #111201 to purchase this equipment as authorized under San Luis City Code-Purchasing Section 36.09, Cooperative Purchasing.

AEP provided a quote for two (2) truck bed vault systems, two (2) emergency vehicle lighting and emergency vehicle siren packages for $19,184.04.

RECOMMENDATION / SUGGESTED MOTION:


I MOVE TO APPROVE THE PURCHASE OF THE EQUIPMENT AS PRESENTED, USING THE YAVAPAI COUNTY CONTRACT, IN THE AMOUNT OF $19,184.04 AS PER CITY PROCUREMENT CODE 36.09 COOPERATIVE PURCHASING.
