Discuss, consider, and take appropriate action on a policy regarding the use of meeting spaces in county facilities by internal departments and external groups.

Background

Possible discussion points include, but are not limited to fees, collection of fees, reservation process, management of deposits, security functions, and other risk management concerns. The Community Room Rental Policy for Specific County Rooms was approved by the Commissioners Court on April 7, 2009, to take effect on June 15, 2009.  Then on June 9, 2009, the Commissioners Court approved an item delaying the effective date of this policy until October 1, 2009, to allow time for procurement of scheduling software to be used for renting of the rooms.  The scheduling software was not ever procured, and it appears the policy was only implemented as to the Jester Annex but not for other county locations.
